Creative financial position (Santa monica)

Creative financial position sounds very Arthur Anderson/Enron. We a very busy below the line talent agency looking for strong administrative assistant with a developed skill set (emphasis in bookkeeping /finance) who will require minimal training.  We are looking for someone who relishes problem solving and being given independence, given goals and objectives instead of a itemized task list. We want someone who does not approach these in a rote manner but instead bring something of themselves and their creativity to the position.




Financial responsibilities: Invoicing, paying bills (These total no more than 30 or so a month but must be accurate), reconciling banking (operating and client trust both) and credit card accounts,  AR/collections (These are all about being methodical and having good follow through. They require someone to be very organized), dealing with motion picture payroll companies, understanding how to navigate quickbooks, dealing with foreign banks, creating financial projections and letting us know when we are and are not meeting them,  helping us choose the right bank with the criteria being service vs fees.  We have a offsite bookkeeper who will oversee your work who you can go to for advice.




Office responsibilities: Reading our incoming emails to get a sense of what is going on with the company.  Our business is moving from phone to email centric and we want you to be involved and grow with the company.  You will track issues and make sure they are resolved. We are bit very independent and cover the majority of item but sometimes we need a little help. These vary from making sure a online link is sent out to a contract being revised ensuring that a client has turned in their receipts and invoices at the end of a job.  There is a tremendous number of things that can be going on. It all fits in our company mantra to be careful what we commit to but when we do to exceed expectations.  Better say no then to disappoint. Less done well with great follow up is preferable to more with neither of those.




You will need to also be able to help draft and track deal memos, enter projects into our clients' schedules, enter phone messages, update contact information via our database, arrange client travel, oversee interns, order office supplies, and manage meeting schedules for the two agents of the company.  Help strategize and make sure those ideas are acted upon.




We are believers in social networking and the best sales tool is to make others fans of our clients and company.  Creative thinking. For example, we rep two of  the key 3d  players from Avatar and are finding ways to sell their expertise rather than just sell their time.  This is a paradigm shift from how such talent is managed. We want you to be part and really contribute to this and as in any great idea, it is only great in the implementation. We are creative people and dream up more than we have time to execute. Your job is to help us keep on track, eyes on the prize and not overextend ourselves.




We need someone with solid phone skills and ability to quickly take down and retain information. To also be able to put it in context, disregard the irrelevant, to find and focus on what is important. To use a cliche, someone who is always aware of the "big picture", who already knows our client list by heart within a day of working here and who can quickly pick up the names of the people who call in the most frequently.




These may seem like high demands but we are most importantly looking for someone who is a good problem solver, who doesn't give up easily and knows how to prioritize multiple projects without becoming easily overwhelmed.  We have a beautiful office in downtown Santa Monica two blocks from the beach and pride ourselves on our creative and intense way of doing business.  Your personality and how you carry yourself is just as important as your skills.  Write a brief cover letter with your resume to convince us why you are the right person for this job. Salary starts at $35k a year. We know the pay is low but there is room for advancement and growth.
